The app for travelling employees.

Compliant invoices, collected by your travellers.

VAT recovery is won or lost at the moment the invoice is created. The VAT4U Travel App makes sure your travellers walk away with a compliant invoice every time, then sends it straight to your VAT4U profile.

VAT4U Travel App: virtual business card, country invoice rules and receipt scanning on a mobile phone

The problem

Most VAT is lost before finance sees the expense

When your company pays VAT on travel expenses, a large part of it can be reclaimed. But tax authorities only refund VAT when the invoice is compliant. A receipt is often not enough: many countries require a full invoice carrying your legal name, address and VAT number. Two things go wrong, and both happen before the traveller leaves.

  • The wrong document is issued

Travellers forget to ask for a proper invoice, or do not know which details the merchant has to include. By the time the expense reaches your team, it cannot be fixed.

  • The document never arrives

Receipts disappear into wallets, bags and inboxes before they are submitted. No document, no claim, no refund.

The VAT4U Travel App solves both at the source, in the traveller's hands, at the moment they pay.

Every recovered euro starts with a compliant invoice, captured on the spot.

The app in use

Four steps for the traveller. Everything after that stays with your finance team, so your people never need to know a VAT rule, a threshold or a filing deadline.

Before you pay

Select the country and see the rules

Pick the destination or use location detection. The app shows the local invoice threshold, so your traveller knows when a receipt is enough and they can simply walk away, and when a full invoice is worth asking for.

For your employees

Simplify invoice and receipt collection for your employees

Business travel already takes enough of your people's time. Collecting VAT documents should not add to it. The app tells them exactly what is needed, and just as often, what is not.

  • No asking for documents they do not need

Under the local threshold, a receipt is enough. The app says so on screen, so your traveller keeps the receipt and walks away instead of negotiating for an invoice nobody will ever use.

  • No spelling out company details

When an invoice is required, the virtual business card carries the legal name, address, VAT number and local tax number. One screen, shown across the counter, done.

  • No paper to carry home

Scan on the spot and submit. A whole day of meals and taxis goes in one batch, so there is no envelope of receipts to sort through at the end of the trip.

  • No questions from finance weeks later

Every expense shows its status the moment it is submitted. Your traveller can see what has gone through, and nobody comes back a month later asking for a document they no longer have.
